Introduction

Ardens Manager offers a variety of reports to help organisations analyse appointment waiting times. These reports cover both the duration from booking to appointment and the wait time upon arrival for the appointment.


Accessing the Dashboard

Select the Services icon and click on Appointments.
 

 

Monitoring Time From Booking To Appointment

To monitor how long a patient has been waiting from booking to appointment, scroll down to the Last Month section of the Past tab and focus on the Time From Booking To Appointment reports. 

 

 

This will help you visualise where patients have waited between 0 - 20 days or more than 20 days.


Selecting the View button will help you understand the demographics of these patients, including the conditions they have.

 You can also filter the data by staff role to identify where patients experience the longest wait times.

 


Monitoring Waiting Time

Upon arrival to the practice you can monitor how long the patient has waited to be seen. Scroll down to the Last Month section of the Past tab and focus on the Waiting Time reports. 

 

The data is grouped into time bands as below:

 

 

Selecting the View button enables you to further analyse which types of appointments or staff members patients are experiencing longer wait times for.

 

 

The Timeline tab can provide insights into the appointment data. For example, applying a context filter by 'day of week', you can visualise appointment numbers by month over the past year, making it easy to spot trends.

 

Remember: Emergencies happen and some patients may need a little bit longer if they present with a complex need. It is important to remember that sometimes waiting a little while is a normal part of general practice. However, monitoring this data can help you to to minimise this wait for patients to minimise avoidable wait. 


Next Steps

You now have lots of insights, what does it tell you and what can you do about it? As a starting point, look for the potential problem areas and think about potential opportunities, for example:
  • Is there a trend with a specific role group? Are all your GPs consistently running behind? This could suggest that the appointment times are not long enough. 
  • Is it a particular member of staff who has poor time management? Or perhaps a new member of staff who needs some additional catch-up time while they are getting familiar with systems.
