Introduction

The Ardens ‘Local Contract Management’ solution helps Commissioners and GP Practices efficiently manage local contracts, from data entry to payment, saving time sourcing contract info, supporting accurate data recording, and ensuring timely, appropriate patient care. Local resources may include templates, alerts, reports, and a dashboard.

 

Templates

To record data for local contracts, practice staff will use the standard Ardens template.


The templates can be accessed as normal during a patient consultation, using the Run Template option:



When selecting a template, ensure it is an Ardens template, identifiable by ‘Ardens’ in brackets.


Alternatively, you can use the Ardens “All Template Launcher Protocol”, to access the relevant template. For further information on the template launchers, access this support article.

Once you access the template, you will be presented with your ICB page. This page provides information on the local contract requirements and necessary data fields to ensure accurate completion.



Pay close attention to the red text, as some areas may require dual coding or direct you to another page in the template for completion.

Use the remainder of the template as usual to structure your consultation and capture other areas, like QOF, if needed. Remember to save the template once completed to record the information in the patient’s record. 


Alerts

Alerts maybe available in the clinical system for your area to identify outstanding work. The alert will display in the pink box.


Reporting

To access the clinical system searches, navigate to the Population Reporting module > Ardens searches > followed by your ICB folder.



Each sub folder will be broken down by the local specifications. These folders contain searches for the monitoring requirements for each area.


To view the latest results of the searches, right click on the folder required and click Run.


The searches will run based on the date criteria specified for each requirement, whether by fiscal year or quarter.


The majority of searches have an associated report, which is helpful to check individual requirements for the patient.



If the practice is required to provide historical data (e.g., the previous quarter), the ‘Relative Run’ date can be used. Please see this support article for further information.


Dashboard

Ardens Manager is a data analytics platform designed to enhance activity monitoring. Access Ardens Manager using this link: https://app.ardensmanager.com/login.


Once you have logged into the platform, select the Contracts icon on the sidebar.



The Overview tab will allow you to monitor all local contracts, to view a specific area click on the tabs required.



The far-left dropdown of the dashboard will default to the current quarter, but you can use the drop-down to view previous quarters.


The ‘Clinical Activity’ section of each tab will show the clinical reports. This data is extracted automatically from the practice clinical system daily.


To the far left of each report this will display the number and percentage of patients achieved.


Each report has a View button next to it. This enables you to see practice achievement, patient lists (if this is enabled for your login), as well as reporting rules, trends and demographics.

Viewing the ‘Payment’ tab will display the financial information relating to the payment element of the contract. Indicators that are required for payment will be displayed here.
