Introduction

The Vaccination Dashboard allows you to track and monitor eligible cohorts and vaccination activity such as Seasonal Influenza (Flu) at GP practice, PCN and ICB level.


Accessing the Dashboard

The dashboard can be accessed via the Services icon and then selecting the option for Vaccinations.



The Vaccination dashboard will be broken down by each vaccination, select the Seasonal Influenza tab:



The Data tab will display data for your organisation(s). This information is uploaded automatically daily.



The Overview section will provide an overall status for the season for your organisation(s), including how many invites have been sent, the total number of vaccinations given, with a breakdown of the number done in the organisation and elsewhere (such as the Pharmacy).



The Data Quality report will highlight the number of patients vaccinated too early for payment. 



The Last Month section will report on the number vaccinations recorded last month and is available as 2 categories; Adults and Children.



The Performance Indicator section provides a detailed breakdown of vaccinations given, including by eligibility, clinical risk groups, and low uptake groups. This helps you to monitor progress within these specific risk groups and prioritise any remaining stock accordingly. It can also highlight trends that may prompt a review of your recall processes to ensure those most at risk are given the best opportunity to be vaccinated.



If you are working at group-level, you may wish to benchmark activity across organisations. For example, to view the low uptake group activity. To do so, click on the View option the right of the report:



This will open the further breakdown modal, to allow you to monitor your uptake and progress against your neighbouring practices, as well as the Ardens National Average.



Some reports let you dive into the details of coding used. For example, if you're looking at the report for all vaccinations 'Given – Here', you can break down the data by the code used allowing you to see how many were given by each type of vaccine. Similarly, when reviewing the reports for invitations sent, you can see how many invites were sent via SMS, letter, verbal invitations, etc.


To do this, View the report and navigate to the Breakdown toggle.



Inviting Patients for Vaccinations using Ardens Manager

Ardens Manager gives you the flexibility to invite your patients for their Flu vaccination while monitoring your uptake.


Perhaps you want to prioritise specific risk groups or low uptake group, or you are approaching the end of the season and have some stock left to offer to specific cohorts.


Inviting patients within Ardens Manager is simple. On your chosen report, click on View.



Select the PATIENTS tab to view the list of patients. From here you are able to filter the patient list further for a more targeted approach.


Remember to ‘Show remaining only’ to ensure you are not inviting those patients who have already had their vaccinations.


Next click on the Export button at the bottom of your patient list and choose either to export as a CSV file (can be used for a third-party messaging platform) or the option to import your list to your clinical system.



Case Finders and Missed Income

The dashboard includes case finder searches to identify patients that have been vaccinated but have not been extracted for payment:

  • ?Consider recording vaccination in error as duplicate vaccinations recorded - this indicates that a patient has duplicate vaccination within the current flu season, and thus cannot be extracted by CQRS.
  • ?Consider recording vaccination needed as vaccination recorded but not clinically eligible for payment - this report indicates a vaccination has been given but the patient was not clinically eligible and thus won’t be extracted by CQRS.



You can view either of these reports by clicking on the View button and navigating to your patient list. You may want to review each patient's record to identify the cause of any duplicate coding and remove the incorrect entry if appropriate or add the appropriate 'needs influenza code' for patients vaccinated that are not clinically eligible. 


If this is done within the current month, the updated data can still be extracted by CQRS during the next extraction. However, if you discover errors from earlier in the season, the data will not have been extracted, and you may need to submit a manual claim to request payment.
