Introduction

The Vaccination Dashboard enables you to efficiently monitor flu activity, including eligible cohorts, the number of invitations, and uptake rates.

 

It also allows you to break down data by clinical risk groups and low uptake groups, helping you prioritise and focus on specific targets.


Accessing the Dashboard

Select the Services icon and click on Vaccinations.

 

 

Click on the Seasonal Influenza page:

 


The Overview section offers a comprehensive status update for your organisation's flu activity. It includes details on the number of invitations sent and the total vaccinations administered, with a breakdown of those conducted within the organisation and at external locations, such as pharmacies.

 

 

The Data Quality report will highlight the number of patients vaccinated too early for payment. 

 

 

The Last Month section provides a report on the number of vaccinations recorded in the previous month, categorised into two groups: Adults and Children. 

 

 

The Performance Indicator section allows teams to track progress of vaccination for specific cohorts of patients, including clinical risk groups and low uptake groups.

 

The reports easily identify patients remaining to be vaccinated and insights could be used to prioritise your stock accordingly.

 

You may also find that the data in this category highlights trends that may prompt a review of your recall processes to ensure those most at risk are given the best opportunity to be vaccinated.

 

 

If you are working at the group level, you may want to benchmark activities across organisations. For instance, you can assess groups with low participation rates. This analysis could inform decisions to enhance engagement.

 

To do this, click on the View option to the right of the report:

 

 

This will open the single report breakdown screen, enabling you to monitor your uptake and progress compared to neighboring practices and the Ardens National Average.

 

 

Some reports allow you to explore the details of the coding used. For instance, when examining the report for all vaccinations 'Given – Here', you can break down the data by code to see how many were administered for each type of vaccine. Similarly, when reviewing the reports for invitations sent, you can see how many were sent via SMS, letter, verbal invitations, and more.

 

To do this, click on the View option to the right of the report and navigate to the Breakdown toggle.

 


Inviting Patients

Ardens Manager gives you the flexibility to invite your patients for their Flu vaccination while monitoring your uptake.

 

Perhaps you want to prioritise specific risk groups or low uptake group, or you are approaching the end of the season and have some stock left to offer to specific cohorts.

 

Inviting patients within Ardens Manager is simple. On your chosen report, click on View.

 

 

Select the PATIENTS tab to view the list of patients. From here you are able to filter the patient list further for a more targeted approach.

 

Remember to ‘Show remaining only’ to ensure you are not inviting those patients who have already had their vaccinations.

 

Next click on the Export button at the bottom of your patient list and choose either to export as a CSV file (can be used for a third-party messaging platform) or the option to import your list to your clinical system.

Case Finders and Missed Income

The dashboard includes case finder searches to identify patients who have been vaccinated but have not been extracted for payment:
  • ?Consider recording vaccination in error as duplicate vaccinations recorded: This indicates that a patient has duplicate vaccinations within the current flu season, and thus cannot be extracted by CQRS. 
  • ?Consider recording vaccination needed as vaccination recorded but not clinically eligible for payment: This report indicates a vaccination has been given, but the patient was not clinically eligible and thus won’t be extracted by CQRS. 

 

 

You can view these reports by clicking the View button and navigating to your patient list. It is advisable to review each patient's record to identify any duplicate coding, remove incorrect entries, or add the appropriate 'needs influenza code' for patients vaccinated who are not clinically eligible.
